Preparing confirmations without slowing the close
External confirmations remain one of the strongest pieces of audit evidence for cash, receivables, and certain liabilities. They also sit on other people’s calendars — banks, customers, lawyers — so delay is common.
Authorize early
Decide who signs confirmation requests in week one of planning. Pre-clear bank contact channels. For major customers, warn accounts receivable that an auditor letter may arrive so it is not treated as a collections dispute.
Track outstanding items
Keep a simple log: sent date, addressee, follow-up date, and alternative procedures if silence persists. Alternative procedures (subsequent receipts, shipping evidence) should be ready rather than invented in the final days.
Legal letters
Counsel confirmation letters need precise wording and a clear list of open matters. Incomplete instructions create incomplete replies. Share draft wording with Clouddatax before sending so we are not surprised by scope gaps.
A confirmation that returns late is still useful; a confirmation that never starts is what stretches the report date.
